How the Outreach queue works

Understand how queued emails flow through to sent, and what each tab means.

The Outreach page is where every pitch lives between the moment it's written and the moment it lands in a brand's inbox. Think of it as a conveyor belt: emails are generated, wait their turn, send on your schedule, and then run their follow-ups automatically. Here's how each stage works.

The three tabs

At the top of the queue you'll find three tabs, each with a live count:

Queued

Emails that are written and waiting to be sent. Nothing here has gone out yet, so this is your chance to review, edit, reorder, or skip anything before it leaves. If a pitch is still being written, you'll see a generating card at the top of this list until it's ready.

In Progress

Once an initial email sends, the contact moves here. This is where follow-ups live and send automatically on the schedule you set. If the contact replies, their remaining follow-ups are canceled.

Complete

After every step in a sequence has sent (or the contact replied), the sequence is marked complete and lands here.

How an email moves from queued to sent

Emails don't all fire at once. When outreach is turned On, they send automatically throughout the day, spaced out naturally to protect your sender reputation. The pace is governed by your daily send limit and schedule — emails only go out on your chosen sending days, inside your send window, and up to your daily limit.

You stay in control the whole time. Use the On / Off toggle in the header to start or pause sending. Open any queued email to edit it, or open a step and choose Send now to push it out immediately, skipping the schedule.

Autopilot keeps it full

If your queue runs dry, Autopilot (on Outreach Plus and Agency) automatically finds matching brands, writes personalized pitches, and refills your queue so outreach keeps running continuously.
